Avila Creative Soccer Night Facility Manager

Avila Creative Soccer is searching for a Night Facility Manager who will be responsible for the maintenance, upkeep and cleanliness of the Avila South Austin location. He/She will oversee the overall condition of the facility during Avila’s 4v4 Adult Soccer League and perform various tasks on a daily basis.

Compensation: $15/hour

Days and Hours: Monday-Friday, (7:15 PM – 10:45 PM) + some weekend shifts

Location: Avila Creative Soccer – South Austin (7601 South Congress Ave)

Start Date: October 21, 2019

Primary Responsibilities

  • Maintain inventory of supplies (balls, whistles, game cards, etc.)
  • Responsible for operation and maintenance of equipment
  • Assist referee on game days
  • Responsible for player check-in, filling out player information on game sheets and document player ID’s
  • Handle cash for league registrations, outstanding balances, guest player fees, field rentals, etc.
  • Report game outcomes to Avila staff
  • Be available to players’ questions about the league
  • Enforce general league rules and regulations (proper uniforms, use of shin guards, etc.)
  • Assist in recruiting for teams
  • Ensure that the facility is clean, safe and organized
  • Close and lock-up the facility

Qualifications

  • Must be able to commit to a minimum of 15 hours availability per week
  • Able to work with guests of all ages, ethnicities and genders
  • Possess excellent communication skills

Bilingual Spanish/English a plus.

Avila Creative Soccer Administrative Assistant
Start Date: ASAP

Avila Creative Soccer is seeking an Administrative Assistant with great customer service skills. He/She will be responsible for handling front office reception and administration duties, including customer care, answering phone calls, handling class inquiries and sales.

Compensation: $16-20/hour

Days and Hours: Monday-Friday, 2:45 PM-7:45 PM (25 hours)

Location: Avila Creative Soccer – Anderson Mill (8863 Anderson Mill Rd, Suite 107, Austin, TX 78729)

Primary Responsibilities

  • Answer phone calls
  • Take and relay messages
  • Answer inquiries about Avila Creative Soccer’s classes, packages, etc
  • Help new players sign up for classes and packages
  • Gather and update player information
  • Schedule classes/make-up classes and first time visits
  • Send emails and faxes
  • Coordinate with Art Director on marketing materials
  • Pick-up or have marketing materials printed and make sure they are stocked in facilities
  • Perform basic bookkeeping, filing, and clerical duties
  • Greet visitors warmly and make sure they are comfortable
  • Ensure reception and seating areas are tidy

Qualifications

  • At least 1 year of related experience
  • Great customer service skills with the ability to communicate confidently and effectively with customers, both over the phone and in person.
  • Excellent verbal, written and interpersonal communication skills
  • Excellent computer skills (Microsoft Word, Excel, Google Suite, etc)
  • Organized and detail-oriented
  • Great at multi-tasking
  • Dependable transportation

Administrative assistants will be required to use their own computer.

Full Detailed Duties

  1. Maintain inventory of supplies in a locked space. Make sure the following list is always complete every night:
    • Extra referee shirts
    • Whistles
    • Game balls
    • Ball pumps with air pins
    • Batteries for scoreboard
    • Polydots
    • Referee game cards
    • Game sheets on clipboard
    • Clean numbered pinnies/uniform shirts
  2. Responsible for operation and maintenance of equipment
    • Test out scoreboard
    • Make sure speakers are set to the correct playlist
    • Set Roku TV to website league schedule
  3. Assist referee on game days
    • Fill-out game sheets with player names (refer to the website for roster) and present to referee before the match starts
    • Ensure that the referee starts all games on time
    • Remind referee to ask team captains for their vote on player honors (MVP, Best Passer, Best Defender). If he fails to get their vote, contact the captains after the fact by phone
  4. Responsible for player check-in
    • Fill-out player information on game sheets
    • Document and check players’ IDs
    • Keep game sheets to yourself, do not give to the referee until right before the match begins
    • Collect and document guest player fees
  5. Handle cash 
    • Collect payments for league registrations, outstanding balances, guest player fees, field rentals, etc.
    • Review list provided by management of which teams still have outstanding balances and collect payment
  6. Report game outcomes to Avila staff
    • Collect game sheets at the end of shift
    • Send photos of games sheets to Briana and Natalie so they can enter the data onto the website
    • Keep filled out game sheets in secured box/bin
  7. Client/Player support
    • Greet players when they arrive
    • Read League Rules & Guidelines and be available to answer players’ questions about the league
    • Usher teams onto the field quickly after the last Avila kids class (and in between subsequent games) 
    • Encourage teams to stretch in the Lobby and prompt them a few minutes before the game that they will be starting soon.
  8. Enforce general league rules and regulations
    • Ensure teams have proper uniform shirts and shin guards
    • If a team shows up without numbers on their shirts, or different colored shirts, facility manager will hand out the numbered pinnies/uniform shirts and require the team to change into them. (Facility manager may inform the team to put tape on the back of their shirts to act as numbers as long as everyone has the same colored shirt)
  9. Assist in recruiting for teams
  10. Ensure that the facility is clean, safe and organized
    • Check field for safety and ensure debris are removed
    • Lay out white polydots to mark boundaries on the field
    • Check front and back parking area for beer and debris
    • Clean the lobby and tidy field
    • Set aside all used pinnies or shirts in the laundry area so an Avila trainer can begin the wash cycle the following day
  11. Close and lock-up the facility
